1. About this policy

It also explains your rights and the choices you have about your information.

2. Who is responsible for your information?

Repatterned is currently operated by Victoria Rose while the incorporation of Repatterned Ltd is being completed.

Victoria Rose is responsible for the personal information collected and processed through Repatterned and is the data controller for the purposes of UK data protection law.

3. What information do we collect?

The information collected depends on how you interact with Repatterned.

Information you provide

This may include:

  • Your name and email address when you register, subscribe, make a purchase or contact us.

  • Booking, order and transaction information.

  • Responses submitted through questionnaires, forms and interactive activities.

  • Written reflections, creative work, feedback and messages you choose to share.

  • Your communication preferences and records of consent or withdrawal.

Information collected through activities and projects

Some Repatterned experiences, including 100 Stories, may involve:

  • Audio recordings and transcripts of conversations.

  • Photographs, video recordings or other visual material.

  • Personal stories, memories and experiences.

  • Written or creative contributions.

  • Permissions relating to recording, archiving, publication and other uses.

The information collected and its intended uses will be explained as part of the relevant activity or project.

Information collected through the website

When you visit Repatterned, certain technical information may be collected, including:

  • IP address and approximate location derived from it.

  • Browser and device information.

  • Pages visited and interactions with the website.

  • Referral sources and website activity.

  • Cookies and other online identifiers.

Further information about cookies and tracking appears in Section 11.

4. Why do we use your information?

We use personal information to operate Repatterned, deliver experiences, communicate with participants and undertake our creative and research activities.

The lawful basis depends on the purpose of the processing.

  • Registering participants and delivering purchased experiences: Contract.

  • Processing payments and maintaining financial records: Contract and legal obligation.

  • Responding to enquiries: Legitimate interests or steps before entering a contract.

  • Sending booking confirmations, access details and important updates: Contract.

  • Sending optional marketing communications: Consent, where applicable.

  • Managing communication preferences: Consent and legitimate interests, as appropriate.

  • Recording conversations and collecting research material: The lawful basis explained for the particular project.

  • Publishing identifiable stories, recordings or photographs: The lawful basis explained for the proposed publication, with separate permissions where required.

  • Operating and securing the website: Legitimate interests, where appropriate.

  • Using non-essential analytics and advertising cookies: Consent.

  • Meeting tax, accounting and legal obligations: Legal obligation.

Where we rely on legitimate interests, we consider the purpose of the processing and its impact on the people concerned.

Some contributions may contain sensitive information, including information about health, beliefs or other personal circumstances.

Where special category personal information is processed, we will identify an additional lawful condition under UK data protection law, such as explicit consent where appropriate.

5. Interactive activities and written responses

Repatterned includes activities that invite participants to explore stories, interpretation, memory and meaning through questions, writing, images and other creative material. Some activities may be completed without providing identifying information. Others require contact details to deliver an experience or communicate with participants.

Where responses are collected, we will explain their intended use and whether they are anonymous or associated with an identifiable participant.

Responses may be reviewed to understand how people engage with an activity, develop future experiences and inform Repatterned's research and creative work, where an appropriate lawful basis applies. Identifiable contributions will not automatically be published or used in promotional materials simply because they have been submitted through an activity.

Any additional permissions required for publication or other uses will be addressed separately.

6. Conversations, recordings and 100 Stories

Some Repatterned projects, including 100 Stories in 100 Days, involve recorded conversations, interviews, photographs and personal narratives.

Before a recorded conversation begins, participants are informed that recording will take place and how the material is intended to be used.

Recordings may be made using Memoket or Zoom and may be transcribed to support research, writing and other creative work.

Long-term research and creative archive

Original recordings, transcripts, photographs, written contributions and associated research materials may form part of Repatterned's long-term archive.

The intention is to preserve this material for continuing research and creative work, potentially indefinitely, including future writing, photography, publications and exhibitions.

We will periodically review the need to retain identifiable material and the safeguards applied to it. Where appropriate, material may be anonymised, access-restricted or securely deleted.

Publication permissions

Taking part in a recorded conversation does not automatically give Repatterned permission to publish your name, image, voice, words or personal story.

If we wish to use identifiable contributions in a book, exhibition, article, photographic project or other published work, we will contact you separately to explain the proposed use and request the necessary permission.

You may contact [email protected] to ask questions about your contribution or exercise your applicable data protection rights.

Where consent is the lawful basis for processing personal information, you may withdraw that consent. Withdrawal does not make earlier lawful processing unlawful, and rights concerning material already lawfully published may depend on the circumstances and any applicable agreements.

7. Emails and communication preferences

When you register for an activity or purchase an experience, Repatterned may send emails necessary to deliver it.

These may include:

  • Registration and purchase confirmations.

  • Access instructions and activity materials.

  • Reminders and event details.

  • Important changes to arrangements.

  • Information directly related to your participation.

You may also choose to receive other Repatterned communications, including letters, research updates, photography, invitations, 100 Stories news and information about new programmes.

We use your recorded preferences to determine which optional communications you receive.

You can update your choices through the Repatterned preference centre, use an unsubscribe link in relevant emails or contact us directly.

Withdrawing consent to marketing does not prevent essential communications relating to an existing booking or purchase.

8. Payment processing

Payments for Repatterned experiences are processed through Stripe and other payment providers made available through the Pramaze checkout. Depending on the purchase and the options available, these may include PayPal, Apple Pay, Klarna, Clearpay, Revolut Pay, Amazon Pay and other supported payment methods.

When you make a purchase, the relevant provider processes the information needed to complete your transaction.

Repatterned receives transaction information required to confirm payment, maintain financial records, provide access to purchased experiences and respond to payment enquiries.

Payment providers may process information under their own privacy policies and legal responsibilities.

Available payment methods may vary according to the purchase, location and provider eligibility requirements.

9. Other service providers and information sharing

Memoket

Used to record, transcribe and organise conversations, interviews and research material. This may include audio recordings, transcripts and associated information collected through Repatterned projects, including 100 Stories.

Meta Pixel

Used to measure advertising activity and may support advertising audiences and campaign performance, subject to applicable consent requirements.

Stripe and other payment services available through checkout, as described in Section 8.

Other storage and technical services

Additional providers may be used to store, manage, secure or process information necessary for Repatterned's activities.

These providers may process personal information on our behalf or act as independent data controllers, depending on the service and circumstances.

Information may also be shared with professional advisers or relevant authorities where necessary and lawful.

Repatterned does not sell personal information to data brokers.

10. International transfers

Some services used by Repatterned may process or store personal information outside the United Kingdom.

Where international transfers occur, we will ensure that an appropriate legal transfer mechanism or safeguard is in place, as required by UK data protection law.

These may include UK adequacy regulations or approved contractual safeguards.

You can contact us for further information about how international transfers are protected.

11. Cookies, analytics and advertising

Repatterned uses cookies and similar technologies to support website functionality, understand how visitors interact with its pages and measure the effectiveness of advertising. These technologies may collect information such as IP addresses, browser and device details, pages visited, website interactions and online identifiers.

Essential cookies

Essential cookies support the operation of the website, including security, forms, checkout processes and remembering your cookie preferences. These cookies are used where necessary for the website to function.

Google Analytics

Repatterned intends to use Google Analytics to understand how visitors find and use the website. This may include information about page visits, referral sources, interactions with pages and general patterns of website activity.

Meta Pixel

Repatterned intends to use Meta Pixel to measure the effectiveness of advertising on Meta platforms, including Facebook and Instagram. Meta Pixel may also support advertising measurement, audience creation and the delivery of relevant advertising.

Other analytics and optimisation services

Repatterned may introduce additional tools to assess website performance, search visibility and visitor interactions.

Where these services involve non-essential cookies or similar tracking technologies, the appropriate information and consent choices will be provided.

Your cookie choices

Repatterned provides cookie consent controls that allow visitors to accept or reject optional cookies. Non-essential analytics and advertising technologies are activated only after the required consent has been given.

You can change or withdraw your consent at any time using the Cookie settings link available on the website.

Withdrawing consent prevents further optional tracking based on that consent. Where technically possible, relevant non-essential cookies already stored on your device will also be removed.

For questions about cookies or how your personal information is used, contact [email protected].

12. How long do we keep information?

Repatterned retains personal information for as long as necessary for the purpose for which it was collected, taking account of legal obligations and the nature of the information.

Different categories of information are retained for different periods.

General enquiries

Information relating to general enquiries is normally retained for 12 months after the last correspondence, unless there is a continuing reason to retain it.

Registrations and participation

Information relating to unsuccessful or incomplete registrations is normally retained for 12 months after the intended activity. Registration and participation records for workshops, programmes and other Repatterned experiences are normally retained for three years after the experience has ended.

Marketing and communication preferences

Contact information is retained while you remain subscribed to the relevant communications, subject to periodic reviews of inactive contacts. Where you unsubscribe or withdraw consent, limited records may be retained for as long as necessary to demonstrate and respect your preferences.

Interactive activity responses

Identifiable responses collected through Repatterned's interactive activities are normally retained for 12 months.

Responses may be anonymised or retained for longer where a separate research or creative purpose has been explained and an appropriate lawful basis applies.

Financial and transaction records

Financial and transaction information is retained for the periods required by applicable tax, accounting and other legal obligations. These periods depend on the legal and accounting requirements applying to the business and may be extended where legally necessary.

100 Stories and other research archives

Original recordings, transcripts, photographs, written contributions and associated research materials may be retained for the long term, potentially indefinitely, as part of Repatterned's continuing research and creative archive. These materials may inform future writing, photography, publications, exhibitions and related projects, subject to applicable permissions and data protection requirements.

We will periodically review whether identifiable material continues to be needed and whether appropriate safeguards remain in place.

Where appropriate, information may be anonymised, access-restricted or securely deleted.

You may contact [email protected] to ask about information we hold concerning you or exercise your applicable data protection rights.

13. Children and young people

Repatterned's activities, creative experiments and educational experiences may be of interest to people of different ages.

We recognise that children and young people have particular rights concerning their personal information and will take their age and circumstances into account when collecting or processing it.

Information provided to younger participants will be presented in a way that is appropriate to their age and understanding.

Where an activity involves recording, photography, personal stories or other potentially sensitive information, we will explain the arrangements and obtain appropriate permissions, including from a parent or guardian where required.

Additional privacy and safeguarding measures may apply to activities involving younger participants.

14. How we protect information

We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse or disclosure. These include appropriate access controls, secure account management and the use of service providers with relevant security arrangements.

Access to identifiable recordings, transcripts and research materials will be limited according to their purpose and the permissions associated with them.

We will review the security arrangements for information held as part of Repatterned's long-term research and creative archive.

No online system can be guaranteed completely secure.

If you have concerns about information you have shared with Repatterned, please contact us.

  • Request deletion of information in certain circumstances.

  • Ask for processing to be restricted.

  • Object to certain uses of your information.

  • Request the transfer of eligible information.

  • Withdraw consent where consent is the lawful basis for processing.

You have the right to object to the use of your personal information for direct marketing at any time.

These rights are subject to applicable legal conditions and exceptions.

To make a request, email [email protected].

We may need to verify your identity before responding.

We will normally respond within one month, subject to any lawful extension.

You also have the right to raise a complaint with the Information Commissioner's Office (ICO):

https://ico.org.uk/make-a-complaint/

We would welcome the opportunity to address your concerns directly first.

16. Automated processing

Some Repatterned activities may use automated processes to organise responses, deliver results, manage communications or determine which information is displayed.

These processes may include questionnaire scoring, email automation and the application of communication preferences.

These processes support the delivery of Repatterned's activities and communications.

If Repatterned introduces solely automated decision-making that produces legal or similarly significant effects for individuals, we will provide the information and safeguards required by applicable data protection law.

17. Changes to this policy

We may update this Privacy Policy as Repatterned develops, our activities change or legal requirements are updated.

The latest version will be available on the Repatterned website, together with its revision date.

Where changes materially affect how previously collected information is used, we will provide appropriate notice and obtain any additional permissions required by law.
